WHO is Hiring: Administrative Assistant (Grade G6) in Nairobi, Kenya

Job Overview:

The World Health Organization (WHO) is seeking a skilled Administrative Assistant for its Emergency Preparedness and Response (EPR) Hub in Nairobi, Kenya. This full-time position offers a 6-month Special Services Agreement (SSA) contract.

Key Responsibilities:

1. Correspondence Management

  • – Draft and finalize administrative correspondence
  • – Maintain comprehensive filing systems
  • – Verify document accuracy and adherence to WHO standards
  • – Track and follow up on correspondence deadlines

2. Meeting and Event Administration

  • – Coordinate meeting logistics, including government clearances
  • – Prepare presentations and meeting materials
  • – Schedule team meetings and prepare minutes
  • – Manage travel arrangements and documentation

3. Procurement and Administrative Support

  • – Process procurement requests for goods and services
  • – Manage office petty cash
  • – Liaise with suppliers
  • – Support staff with administrative procedures

Requirements:

Educational Qualifications:

  • – Secondary school completion (essential)
  • – Degree in Finance, Management, or Business Administration (desirable)

Experience:

  • – Minimum 5 years in secretarial or administrative roles
  • – UN agency experience preferred
  • – Proficiency in Oracle-based or ERP systems (advantageous)

Skills and Competencies:

  • – Expert English language skills
  • – Advanced Microsoft Office proficiency
  • – Strong organizational and multitasking abilities
  • – Ability to work independently under pressure
  • – Excellent communication and teamwork skills

Technical Requirements:
