Job Description

The Administration Officer II/Property Management is an entry and training-grade role designed for degree holders. Reporting to the Senior Officer/Property Management (Job Grade CA 6), the officer will assist in the administration, maintenance, and management of CA’s residential and office properties. The position supports efficient property operations, tenant relations, asset monitoring, and facilities management, ensuring compliance with organizational policies and timely execution of duties.

Key Responsibilities

  • Ensure timely payment of land rates and rents for CA properties.
  • Attend to tenants’ complaints and conduct regular inspections of residential estates for structural issues such as leakage, seepage, or cracks.
  • Maintain and update the inventory of tenancy agreements for CA residential properties.
  • Update logs of repairs and schedules of maintenance in coordination with relevant departments.
  • Prepare and maintain the assets register for buildings, furniture, and office equipment.
  • Monitor and update maintenance contracts for service providers.
  • Draft bills of quantities for repair and maintenance works.
  • Conduct regular inspection of storage tanks, piping, and drainage systems to ensure proper condition.
  • Assist in preparation of requisitions and allocation of office space, ensuring proper arrangement and maintenance of furniture and equipment.
  • Prepare reports on defective components, including wear and tear, leakages, seepage, or cracks, and recommend corrective actions.

Required Qualifications

  • Bachelor’s degree in a built environment discipline such as Architecture, Construction Management, Quantity Surveying, Real Estate, Land Economics, Facilities Management, or an equivalent qualification from a recognized institution.
  • Proficiency in computer applications, including Microsoft Office and property management software.
  • Fulfilled the requirements of Chapter Six of the Constitution of Kenya, including ethical conduct and integrity.

Preferred Qualifications

  • Experience or knowledge in property administration and facilities management.
  • Strong report writing and presentation skills.
  • Excellent communication, problem-solving, planning, and organizational skills.
  • Interpersonal, negotiation, tact, and diplomacy skills.
  • Ability to work effectively as part of a team and independently.
