Job Description

The Manager – Administration & Property Management is responsible for overseeing Hospitality Services, Front Office operations, Registry & Records Management, Utility Services, Office Administration, Asset Management, and related outsourced services. The role involves providing technical leadership, ensuring strategic alignment with corporate objectives, and enhancing performance standards within the department.

The manager will ensure that all administrative and property-related functions are executed efficiently, cost-effectively, and within approved policies and legal frameworks.

Key Responsibilities

  • Overseeing corporate records management and guaranteeing secure, organized, and compliant documentation systems.
  • Providing technical leadership to departmental teams to support strategy development, implementation, and performance evaluation.
  • Managing outsourced services such as courier operations, cleaning services, and other contracted administrative functions.
  • Coordinating front office and general office administration services, including secretarial support.
  • Managing office equipment needs, ensuring functional readiness, security, and cleanliness of all assets.
  • Safeguarding company assets—premises, furniture, equipment—through accurate and updated records.
  • Identifying assets that require procurement, repair, maintenance, or disposal.
  • Forecasting administrative staffing needs in line with departmental goals.
  • Managing processing and payment of administrative utility expenses.
  • Coordinating performance contracting targets and preparing periodic performance reports.
  • Facilitating acquisition, allocation, and utilization of office space and parking.
  • Overseeing drafting, negotiation, and review of lease contracts with relevant stakeholders.
  • Managing procurement of office furniture, fixtures, and equipment.
  • Maintaining an up-to-date asset inventory for all property under departmental custody.

Required Qualifications

  • Minimum of twelve (12) years’ relevant work experience, including four (4) years in a managerial role.
  • Master’s degree in Public Administration, Business Administration, Sociology, or related fields.
  • Bachelor’s degree in Public Administration, Business Administration, Social Sciences, Land Economics, Surveying, or equivalent qualifications.
  • Management course lasting not less than four (4) cumulative weeks.
  • Relevant professional qualification and active membership in a professional body.
  • Proficiency in computer applications.
  • Compliance with Chapter Six of the Constitution of Kenya.

Preferred Qualifications

  • Experience in large-scale property management, facilities oversight, or corporate administration.
  • Strong understanding of office space planning, leasing processes, and asset lifecycle management.
  • Ability to lead diverse teams and manage high-volume administrative environments.
