Job Description

The Administrative Assistant will manage the day-to-day operational needs of the Narok Field Office, ensuring efficiency in administration, procurement, and communication with the Nairobi headquarters. The role involves handling office logistics, staff travel arrangements, financial documentation, and general support to facilitate program implementation.

Key Responsibilities

  • Maintain field office operations, including filing, record keeping, and procurement documentation.
  • Organize and support meetings, trainings, and community events.
  • Manage petty cash, prepare payment requests, and maintain expense records.
  • Ensure office supplies, utilities, and equipment are properly maintained.
  • Coordinate travel logistics for staff and field visitors.
  • Support asset inventory management and prepare monthly reports for HQ.
  • Maintain strong communication with Finance and HR teams in Nairobi.

Required Qualifications

  • Diploma in Business Administration, Office Management, or related field.
  • At least 2 years of experience in office administration, preferably within NGOs or donor-funded projects.
  • Proficiency in MS Office and basic bookkeeping skills.
  • Strong organizational, interpersonal, and multitasking abilities.
  • Fluency in English and Kiswahili.

Preferred Qualifications

  • Experience supporting field operations in community-based projects.
  • Knowledge of donor reporting requirements and NGO administrative processes.
  • Familiarity with asset management and procurement procedures.
