Administrative Assistant – Role Overview

This Administrative Assistant position at Equity Afya is a frontline role responsible for delivering efficient administrative and customer support services within a healthcare setting. The role ensures that all patients and visitors receive timely assistance while maintaining accurate records, responding to inquiries, and supporting daily operational activities.

The successful candidate will work closely with clinical and non-clinical teams to ensure smooth front office operations. Key Responsibilities

  • Serve as the first point of contact for patients, clients, and visitors at the Equity Afya facility.
  • Receive, guide, and assist patients efficiently while maintaining a professional and welcoming environment.
  • Respond promptly and professionally to all enquiries, feedback, and complaints.
  • Provide accurate administrative support to ensure smooth daily operations.
  • Maintain and update patient records using Health Management Information Systems (HMIS).
  • Support appointment scheduling, patient registration, and information management.
  • Ensure compliance with organizational policies, healthcare regulations, and data confidentiality standards.
  • Coordinate with internal departments to facilitate seamless service delivery.
  • Monitor the front office environment to ensure cleanliness, safety, and orderliness.
  • Assist in preparing reports, documentation, and administrative records as required.

Required Qualifications

  • Diploma in Front Office Administration, Business Administration, Health Records, or an equivalent qualification.
  • At least two (2) years of experience working in a service-oriented industry, preferably within healthcare.
  • Proficiency in computer applications, with strong experience using Health Management Information Systems (HMIS).
  • Excellent communication skills, both verbal and written.
  • Strong interpersonal skills with a customer-first mindset.
  • High level of professionalism, integrity, and attention to detail.

Preferred Qualifications

  • Previous experience working in a healthcare facility or medical environment.
  • Knowledge of patient registration and healthcare records management.
