Job Description

The Administrative Associate will play a key role in supporting the smooth functioning of the Chancen Kenya Office. This role involves front-office management, basic HR support, finance administration, and coordination across departments like People & Culture and Repayments. It is ideal for professionals who are detail-oriented, organized, and passionate about supporting impactful work environments.

Key Responsibilities

Office Administration

  • Manage front-office operations including visitor reception, inquiries, and calls
  • Maintain a clean, secure, and functional office environment (plants, supplies, etc.)
  • Organize travel, meeting logistics, workshop planning, and accommodation arrangements
  • Manage supplier, vendor, and service provider relationships
  • Maintain accurate registers (staff, complaints, visitors) and submit regular summaries to the Country Director
  • Handle all queries via official office communication channels
  • Support other departments during peak workloads or as assigned

People & Culture (HR) Support

  • Coordinate interview scheduling and candidate communication for recruitment processes
  • Support onboarding and offboarding activities for employees
  • Maintain and update employee files and leave records with a high level of confidentiality
  • Coordinate team wellness initiatives, celebrations, and staff events
  • Assist in planning training sessions, tracking attendance, and booking venues

Finance & Procurement Support

  • Process payment requests and maintain expense documentation
  • Assist in budget tracking and generating expense reports
  • Support finance team in audit preparations
  • Update and manage fixed asset register
  • Assist in procurement activities following organizational procedures

Compliance & Reporting

  • Ensure adherence to Chancen International’s internal policies and statutory obligations
  • Prepare regular administrative and logistical reports

Required Qualifications

  • Diploma or Certificate in Business Administration, Human Resources, or Finance
  • 2+ years of work experience in office administration with basic HR or finance knowledge
  • Understanding of Kenya labor laws or compliance processes (advantageous)
  • Proficient in Microsoft Office Suite – especially Excel
  • Experience with Salesforce, HRIS, or other CRM systems (a plus)
