About the Role: Execution Assistant – Oilseeds

The Execution Assistant – Oilseeds will play a key role in ensuring the smooth execution of palm oil contracts and shipments. This position requires a strong understanding of contract administration, shipping processes, documentation, and payment cycles, along with excellent organizational and communication skills.

Main Responsibilities

Contract Administration

  • Thoroughly understand assigned commercial contracts, including FOSFA/GAFTA, ICC Rules, and vessel charter parties
  • Execute contracts effectively by coordinating services such as surveyors, fumigators, shipping and clearing agents, and third-party warehouse keepers

Shipping Instruction Process & Documentation

  • Provide shipping documentary instructions to sellers in line with LDC’s contractual obligations
  • Manage nomination and cargo appropriation processes to ensure full compliance with deadlines
  • Appoint third parties (superintendents, shipping agents, clearing agents) to monitor loading, discharging, and clearing operations
  • Ensure smooth and cost-effective cargo discharge operations
  • Proactively manage operations to resolve issues in a timely manner

System & Documentation Management

  • Maintain timely and accurate updates to the front system
  • Ensure accurate documentation (digital and physical) is available to support all operations

Payment Cycle Management

  • Prepare and verify documentary credits; present documents to the bank in compliance with contract terms and UCP & ISPB rules
  • Follow up on accounts receivable to ensure full payment to LDC
  • Review and book incoming intercompany and vendor invoices
  • Escalate any discrepancies to traders or execution managers as necessary

Laytime Management

  • Calculate laytime to ensure timely settlement of shipment files

Additional Duties

  • Follow up on cargo insurance coverage
  • Ensure import and discharge formalities are processed on time (Import Declaration Forms, Import Permits, Notices of Intention, etc.)
  • Maintain proper documentation to meet customer and country requirements
  • Participate in projects and contribute technical expertise as needed
  • Continuously strive to improve current processes and operations

Experience & Qualifications

Education

  • Bachelor’s degree in International Business, Supply Chain, Logistics, Business Administration, or related field

Experience

  • 2-4 years of experience in a similar role, preferably within the agricultural industry
  • Exposure to international contract terms such as GAFTA, FOSFA, PORAM is preferred
  • Experience handling international trade documentation and banking instruments

Key Skills & Competencies

Technical Skills

  • Knowledge of international trade terms and practices (GAFTA, FOSFA, UCP 600, Incoterms 2010)
  • Understanding of international payment instruments and trade finance
  • Fluency in spoken and written English

Soft Skills

  • Excellent communication and stakeholder management skills
  • Strong numerical aptitude and analytical skills with attention to detail
  • Highly organized and self-motivated
  • Team player with the ability to work effectively under pressure
  • Proactive, eager to learn, and adaptable to change
  • Ability to handle and prioritize multiple tasks simultaneously
