Commercial Support Executive

Kenya Wine Agencies Limited (KWAL) is currently seeking a dedicated and skilled Commercial Support Executive to join their dynamic team in Nairobi, Kenya. About the Position:

The Commercial Support Executive plays a crucial role in managing administrative support activities within the commercial function and overseeing the day-to-day operations of the Merchandising store. This position requires a blend of organizational skills, attention to detail, and the ability to interact effectively with various stakeholders.

Key Responsibilities:

1. Merchandising Store Management:

• – Coordinate the receipt of materials according to approved specifications and quality guidelines
• – Conduct monthly stock takes to ensure accurate inventory management
• – Manage the dispatch of merchandise materials internally and externally to Sales depots
• – Ensure efficient stock management of the Marketing Merchandising store

2. Administrative and Financial Support:

• – Process commercial requisitions and Local Purchase Orders (LPOs) via the Syspro system
• – Ensure all invoices are Goods Received Notes (GRNd) and uploaded on TrailD system for submission to the Finance department
• – Support the Marketing Brand team in engaging suppliers for quotes and executing internal IRO and LPO processes
• – Manage divisional claims/imprests and prepare monthly reconciliation reports for finance
• – Schedule and maintain calendars for senior executives in the department

3. Supplier and Agency Liaison:

• – Coordinate with service providers and agencies for marketing activities implementation
• – Assist in product launches, branded material design, and media activity planning

4. Document Management and Communication:

• – Manage correspondence and route documents to appropriate offices and managers
• – Prepare documents, spreadsheets, and inter-office correspondence
• – Handle complex inquiries from clients and staff
• – Support the preparation and dispatch of sales proposals, presentations, and other commercial documents

5. Database Management:

• – Manage and update direct customer/key distributor database
• – Co-custodian of commercial database on server with Market Information Executive

6. Event Management:

• – Coordinate and manage all Commercial meetings and conferences

Requirements:

• – Bachelor of Commerce degree or equivalent in a related field
• – Strong organizational and time management skills
• – Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint
• – Experience with ERP systems, preferably Syspro
• – Excellent communication skills, both written and verbal
• – Ability to work independently and as part of a team
• – Strong attention to detail and accuracy in data management
• – Problem-solving skills and the ability to handle multiple tasks simultaneously

Preferred Qualifications:

• – Previous experience in a similar role within the FMCG or beverage industry
• – Knowledge of marketing and merchandising principles
• – Familiarity with inventory management systems
• – Project management skills or certification
