Job Description

The Office Administrator will play a key role in managing day-to-day administrative operations within the Directorate of Finance and ICT. The position involves coordinating office communication, handling visitors and correspondence, managing files and records, scheduling meetings, and ensuring compliance with office protocols. This role requires high levels of discretion, organizational skill, and proficiency in computer-based administrative systems.

The successful candidates will support the Directorate’s leadership by providing administrative, clerical, and logistical assistance. The role contributes significantly to operational efficiency and ensures that the office runs seamlessly — a crucial part of effective service delivery within the Authority. Key Responsibilities

  • Attend to and manage visitors, clients, and callers professionally and courteously.
  • Handle telephone calls, emails, and internal/external communication efficiently.
  • Respond to customer inquiries, complaints, and requests promptly and accurately.
  • Ensure the security, integrity, and confidentiality of office documents, equipment, and information.
  • Maintain accurate records, correspondence logs, and file movement registers.
  • Oversee general office administration, protocol, and etiquette within the Directorate.
  • Manage petty cash transactions and maintain transparent expenditure records.
  • Coordinate departmental meetings, appointments, and travel itineraries.
  • Prepare and draft correspondence and routine communications for senior management.
  • Ensure consistent adherence to organizational record-keeping procedures.
  • Provide logistical and administrative support for departmental operations.
  • Undertake any other administrative duties as may be assigned by supervisors.

Required Qualifications

  • Bachelor’s degree in Secretarial Studies, Office Administration, or a related field from a recognized institution.
  • Successfully passed the following Kenya National Examinations Council (KNEC) exams:
    • Typewriting III (Minimum 50 w.p.m.) or Computerized Document Processing III
    • Shorthand III (120 w.p.m.)
    • Business English III / Communications I
    • Office Management III / Office Administration and Management III
    • Secretarial Duties II
    • Commerce II
  • Proficiency in modern computer applications, including Microsoft Office Suite and document management systems.
  • Demonstrated ability to manage administrative workflows and achieve results efficiently.

Preferred Qualifications

  • Professional membership in a recognized administration or management association.
  • Additional training in public administration, customer service, or office systems management.
  • Experience working in a government agency, regulatory body, or public institution.
  • Excellent interpersonal, communication, and multitasking skills.
