Job Description
The Office Administrator is responsible for providing front office services and managing daily administrative functions within an assigned office. This includes diary management, visitor coordination, travel arrangements, records management, communication handling, and hospitality services. Key Responsibilities
Front Office and Client Service
- Attend to visitors and clients in a professional and courteous manner.
- Handle incoming telephone calls, enquiries, and office communications.
- Receive, record, and address customer inquiries and complaints appropriately.
- Manage office protocol, etiquette, and hospitality services.
Office Administration and Coordination
- Coordinate general administrative activities for the respective office.
- Manage diaries, meeting schedules, and official appointments.
- Coordinate travel arrangements and itineraries.
- Draft and maintain routine office correspondences.
- Draft minutes during meetings and ensure proper documentation.
Records, Assets, and Data Management
- Ensure proper record keeping for incoming and outgoing correspondence.
- Maintain an up-to-date file movement register.
- Ensure security, integrity, and confidentiality of office records and data.
- Safeguard office equipment, documents, and physical assets.
Financial and Operational Support
- Manage petty cash for the respective office in line with government procedures.
- Support administrative reporting and documentation requirements.
- Ensure compliance with internal policies and public service regulations.
Required Qualifications
- Bachelor’s Degree in Secretarial Studies, Business Administration, Business Management, or Office Management from a recognized institution.
- OR Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC).
- Passed KNEC examinations including:
- Typewriting III (minimum 50 w.p.m.)
- Shorthand III (110 w.p.m.)
- Business English III
- Office Management III / Office Administration and Management III
- Secretarial Duties II
- Commerce II
Preferred Qualifications
- Supervisory course lasting not less than two (2) weeks from a recognized institution.
- Exposure to office administrator jobs in Nairobi or public sector environments.
- Interest in long-term policy and administration jobs in Kenya.
