Receiving Officer

Java House is currently seeking a detail-oriented and efficient Receiving Officer to join their Supply Chain and Logistics team in Nairobi. This role is crucial for maintaining accurate inventory control and ensuring smooth operations at the company’s commissary.

Position Overview:

The Receiving Officer will play a vital role in managing the inflow of goods and materials at the Java House commissary. This position requires a meticulous individual with strong organizational skills and the ability to maintain accurate records while working in a fast-paced environment.

Key Responsibilities:

1. Inventory Management and Quality Control:

• – Inspect all incoming deliveries for quantity and quality
• – Verify received items against purchase orders, delivery notes, and invoices
• – Maintain accurate records of all received items for traceability
• – Conduct regular cycle counts to ensure inventory accuracy
• – Analyze data to determine appropriate order quantities

2. Documentation and Reporting:

• – Document and escalate discrepancies to the immediate supervisor
• – Generate daily reports on key critical areas of the stock system
• – Prepare and file financial inventory reports
• – Review performance reports daily, weekly, and monthly with management

3. Process Improvement and Compliance:

• – Create and maintain accurate written procedures for inventory control functions
• – Implement and oversee control measures to highlight and resolve inaccuracies
• – Ensure compliance with company guidelines for inventory and supply chain management

4. Supplier and Customer Relations:

• – Nurture positive relationships with suppliers and customers
• – Communicate effectively with various departments to ensure smooth operations
• – Process and document returns following established procedures

5. Technology and Systems Management:

• – Utilize inventory management software to maintain accurate stock levels
• – Ensure the integrity of the stock management system

Requirements:

• – Bachelor’s degree in Supply Chain Management, Logistics, or related field
• – 1-3 years of experience in inventory management or related role
• – Proficiency in inventory management software and Microsoft Office Suite
• – Strong analytical and problem-solving skills
• – Excellent attention to detail and commitment to accuracy
• – Ability to work effectively in a fast-paced environment
• – Good communication and interpersonal skills
