Job Description

The Records Management Officer is responsible for ensuring the security, safety, accessibility, and proper management of all records, documents, and files in line with applicable laws, regulations, and best practices. The role supports policy development, records classification, retention scheduling, disposal, and implementation of electronic document management systems.

As part of Kenya’s public sector records and information management jobs ecosystem, this position plays a key role in safeguarding institutional data and supporting efficient administrative operations.

Key Responsibilities

Records Policy, Compliance, and Governance

  • Draft and support implementation of records management policies and procedures.
  • Ensure compliance with records management policies, governing laws, and regulations.
  • Develop records appraisal, retention, and disposal schedules in line with National Archives guidelines.
  • Prepare disposal schedules in accordance with approved regulatory requirements.

Records Classification, Security, and Preservation

  • Develop file classification, indexing schedules, and mail management procedures.
  • Carry out classification and indexing of files and records.
  • Ensure preservation of records as required by governing regulations and laws.
  • Ensure security, confidentiality, and integrity of files, records, and documents.

Mail, Filing, and Document Control

  • Receive, sort, register, and dispatch incoming and outgoing mail.
  • Maintain accurate mail and file movement registers.
  • Maintain an efficient and easy file retrieval system.
  • Ensure proper handling of documents, pending correspondences, and bring-ups.

Electronic Records and Systems Management

  • Implement, manage, and maintain an electronic document management system (EDMS).
  • Maintain, verify, and evaluate existing records management systems.
  • Support continuous improvement of records and information management processes.

Required Qualifications

  • Bachelor’s Degree in Information Science, Records Management and Information Technology, Library Science, or Archives and Records Management from a recognized institution.
  • OR Diploma in Information Science, Records Management and Information Technology, Library Science, or Archives and Records Management with at least five (5) years’ experience in records management.

Preferred Qualifications

  • Exposure to records management officer jobs within government or public institutions.
  • Experience working with electronic document management systems.
  • Interest in long-term information governance and administration jobs in Kenya.

Other Requirements

  • Computer literacy and ability to work with digital record systems.
  • Fulfilled the requirements of Chapter Six of the Constitution of Kenya on Leadership and Integrity.

Competencies and Skills

  • Strong interpersonal and coordination skills.
  • Excellent report writing and documentation abilities.
  • Effective written and verbal communication skills.
  • High level of accuracy, confidentiality, and attention to detail.
