Senior Office Assistant Job Description
The Senior Office Assistant is responsible for overseeing office cleanliness, mail management, and supervising outsourced cleaning and tea services. This role reports directly to the Assistant Administrative Officer and ensures smooth day-to-day administrative operations.
This position supports the administrative team by coordinating messengerial duties, managing office resources, and maintaining an organized and safe work environment. Candidates will gain experience in operational oversight and administrative coordination, preparing them for higher-level office management roles in Nairobi.
Key Responsibilities
- Ensure cleanliness of offices, machines, equipment, and apparatus.
- Record, receive, and dispatch letters, files, and documents efficiently.
- Perform messengerial duties including delivery of office documents and parcels.
- Requisition and manage cleaning materials and office equipment.
- Collect, deliver, and manage office items, mail, and postage.
- Carry out photocopying, document binding, and other clerical duties.
- Maintain tidiness and orderliness of the work environment.
- Prepare and serve office tea and refreshments.
- Coordinate office furniture and equipment relocation ensuring proper arrangement.
- Manage waste collection, disposal, and maintain proper housekeeping standards.
Required Qualifications
- Minimum of six (6) years’ cumulative work experience, including three (3) years at Office Assistant I level or equivalent.
- Kenya Certificate of Secondary Education (KCSE) with a Mean Grade D (Plain) or equivalent qualification.
- Completion of at least a one-month in-house Office Assistant Course.
- Proficiency in computer applications relevant to office administration.
- Demonstrated merit and ability as reflected in work performance and results.
