Job Description

The Supply Chain Management Officer I will ensure efficient, transparent, and compliant management of Kenya-AIST’s supply chain by coordinating procurement, inventory, and asset management processes in line with the Public Procurement and Asset Disposal Act, 2015, and related regulations. This role contributes to strategic decision-making by providing accurate data analysis, market intelligence, and reporting for management.

Key Responsibilities

  • Conduct regular stocktaking and maintain accurate inventory records.
  • Procure goods, services, and works while ensuring compliance with public procurement laws.
  • Coordinate issuance and receipt of stores and assets.
  • Prepare periodic stores returns and maintain asset registers.
  • Initiate stock replenishment requisitions based on operational needs.
  • Prepare, advertise, open, and evaluate tenders and disposal processes.
  • Update the list of prequalified suppliers, consultants, and contractors.
  • Implement decisions of procurement, tender, and disposal committees.
  • Ensure compliance with the Public Procurement and Asset Disposal Act, 2015, and other relevant regulations.
  • Update and maintain records of procured equipment, services, vehicles, and machinery.
  • Conduct market surveys to ensure value for money in procurement activities.
  • Support management in decision-making through accurate analysis and reporting.

Required Qualifications

  • Bachelor’s degree in Procurement, Supply Chain Management, Logistics, Business Administration, or a related discipline from a recognized institution.
  • Proficiency in supply chain management systems, inventory management, and Microsoft Office applications.
  • Understanding of the Public Procurement and Asset Disposal Act, 2015, and other relevant procurement regulations.
  • Minimum of 3–5 years’ experience in procurement, asset management, or supply chain operations (Grade 8 equivalent experience preferred).
  • Strong analytical, organizational, and interpersonal skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

Preferred Qualifications

  • Master’s degree in Supply Chain Management, Procurement, or Business Administration.
  • Professional certification in procurement or supply chain management (e.g., CPSP, CIPS).
  • Experience in public sector procurement or higher education institutions.
  • Advanced knowledge of inventory management software and procurement tools.
