Supply Chain Specialist Job Description
The Supply Chain Specialist plays a key role in planning, strategic sourcing, procurement execution, supplier management, and process improvement. This role ensures efficient operations, timely delivery of goods and services, and compliance with organizational policies. The officer will collaborate across departments to resolve procurement challenges, manage supplier relationships, and oversee procurement compliance. This position is instrumental in implementing best practices, analyzing spend data, and optimizing supply chain processes to maximize organizational efficiency.
Key Responsibilities
- Advise on all procurement and supply chain matters to ensure operational efficiency.
- Facilitate timely resolution of issues affecting the delivery of goods and services to communities.
- Identify alternative suppliers and manage procurement risks.
- Lead strategic sourcing, including RFQ/RFP processes, supplier pre-qualification, and negotiations.
- Supervise procurement execution, ensuring compliance with policies and timely approvals.
- Maintain accurate supplier records, monitor contracts, and ensure performance standards are met.
- Analyze supply chain data, conduct spend analysis, and provide actionable insights.
- Ensure adherence to internal controls, audit recommendations, and risk management protocols.
- Provide training and capacity building for staff and partners on procurement processes and systems.
- Supervise staff, provide coaching, and ensure team understanding of organizational procurement guidelines.
- Coordinate procurement-related meetings, reports, and documentation to support informed decision-making.
Required Qualifications
- Bachelor’s degree in Business Administration, Procurement, Supply Chain, or related field.
- Postgraduate qualification in Purchasing and Supplies Management (CIPS Level 6 preferred).
- At least 5 years’ experience in procurement or supply chain management, including staff supervision.
- Computer literate with strong skills in MS Office and experience with ERP systems such as COUPA.
- Membership in Kenya Institute of Supplies Management (KISM) and/or Chartered Institute of Procurement & Supply (CIPS).
- Strong professional ethics, integrity, and communication skills.
