Job Description
This admin officer vacancy in Nairobi involves supporting the Head of HR and the Executive Committee (ExCo) through proactive and efficient administrative operations. The role is essential in enhancing internal communication, streamlining day-to-day office coordination, and improving the overall customer and stakeholder experience. Candidates with experience in executive assistant roles in Kenya or healthcare administration jobs will thrive in this fast-paced and collaborative role.
Key Responsibilities
- Deliver high-level administrative, secretarial, and executive support to the ExCo and Equity Afya support teams.
- Manage the ExCo calendar: schedule appointments, meetings, conferences, and reserve venues as needed.
- Act as the central liaison between Equity Afya and Equity Group’s procurement and administrative units.
- Oversee procurement processes and maintain supply inventories for Equity Afya medical facilities.
- Monitor and track the delivery and usage of office supplies, ensuring operational efficiency at the Head Office.
- Coordinate cleanliness, maintenance, and logistics to ensure a functional and professional office environment.
- Reconcile supplier statements and prepare documents for approval and payment processing.
- Screen incoming correspondence and route documents to the appropriate team leaders for action.
- Manage travel arrangements and logistics for the Head Office team, including meeting and event planning.
- Support the coordination of day-to-day activities for Equity Afya’s administrative support team.
- Perform any other duties as assigned by the Head of HR or Executive Committee members.
Required Qualifications
- Bachelor’s degree in Business Administration, Office Management, or a related discipline.
- 3–5 years of experience in administrative support within a corporate or healthcare setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities with high attention to detail.
- Professional demeanor with exceptional interpersonal skills.
- Ability to handle sensitive information with a high degree of confidentiality.
- Capacity to work independently and within a team environment.
Preferred Qualifications
- Experience supporting senior executives or C-suite professionals.
- Exposure to procurement or logistics coordination is an advantage.
- Experience in healthcare administration jobs in Kenya will be an added benefit.
- Training in project management or executive assistance is a plus.
