Administrative Officer – Disaster Management

World Vision Kenya, a global humanitarian organization with over 70 years of experience in helping vulnerable children overcome poverty, is currently seeking an Administrative Officer to join their Disaster Management team. This full-time position, based in Karen, Kenya, offers an exciting opportunity to be part of a dedicated team working to transform the lives of children in challenging environments.

Key Responsibilities:

1. Administrative Support

  • – Provide comprehensive administrative support to the Disaster Management Team
  • – Coordinate administrative functions and support the Directorate
  • – Manage the Director’s diary and appointments
  • – Compile documents for meetings and follow up on urgent matters
  • – Screen and manage callers and visitors to the Director
  • – Coordinate bookings for facilitation and meetings

2. Disaster Management Team Coordination

  • – Liaise with the Group Director to develop strategic agendas for team meetings
  • – Prepare meeting minutes and follow up on action items
  • – Organize joint meetings for Disaster Management teams
  • – Track staff-related issues and contracting in collaboration with People & Culture
  • – Manage incoming and outgoing communications
  • – Handle office assets and supplies for the Disaster Management teams
  • – Arrange international and domestic travel for Directorate and Field Teams

3. Records Management

  • – Maintain an updated filing system (both soft and hard copies)
  • – Update administrative records on M-drive and Box
  • – Ensure availability of MoUs and Agreements
  • – Track document movement and facilitate approval processes

4. Engagement, Networking, and Partnerships

  • – Maintain links with relevant stakeholders for collaboration and resource sharing
  • – Ensure World Vision Kenya’s visibility and participation in key events

Requirements:

  • – Bachelor’s degree in Business Administration, Education, Community Development, Disaster Management, or a related field
  • – Minimum 5 years of experience in office administration
  • – Experience working in a disaster management context
  • – Strong knowledge of support services systems, including planning, reporting, and IT
  • – Proficiency in Microsoft Office suite (Word, Excel, PowerPoint)
  • – Experience engaging with government ministries and external partners
  • – Excellent organizational and time management skills
  • – Strong communication and interpersonal abilities
  • – Ability to work independently and as part of a team
  • – High level of confidentiality in handling sensitive information
  • – Problem-solving skills and ability to work under pressure
  • – Results-oriented mindset with the ability to manage multiple demands
