Customer Service Intern Job Description

The Customer Service Intern will learn and support the daily operations of the Customer Service department under the supervision of the Customer Service Officer (CSO) and Supply Chain Manager (SCM). This position vacancy in Nairobi is designed for candidates who want practical exposure to order management, procurement coordination, ERP systems, and cross-functional collaboration within a global humanitarian supply chain.

Key Responsibilities

  • Under the supervision of the CSO, inform missions on order status, claims, and non-conformities where applicable.
  • Ensure ERP system data accuracy and proper documentation for all transactions.
  • Immediately inform the Supply Chain Manager of operational issues affecting customer service tasks.
  • Receive, check, and screen internal requests and client draft POs/RFQs with CSO support.
  • Verify that correct order authorization processes are followed before processing orders.
  • Process regional mission orders and ensure Order Request Confirmation (ORC) sharing for validation.
  • Create ORCs and communicate with clients to obtain procurement authorization.
  • Share validated client Purchase Orders with the Purchasing Officer for supplier PO processing.
  • Learn SOP processes for screening international order requests.
  • Follow up with missions to clarify order needs before confirmation.
  • Use the Dossier Analysis Tool to check stock availability and replenishment timelines.
  • Interpret stock balances with Procurement to avoid stockouts.
  • Review Regulatory Affairs SharePoint to assess country-specific constraints.
  • Monitor dashboards daily for new pipeline orders to ensure on-time processing.
  • Assist in purchase order processing and ERP status updates.
  • Follow up with suppliers on pending and back orders under Procurement Manager guidance.
  • Collaborate with internal departments for efficient information sharing.
  • Support accurate and timely archiving of POs, RFQs, and supply documentation.
  • Lead and finalize the Paperless project before the internship concludes.
  • Prepare and submit a discovery report or feedback at the end of the internship period.

Required Qualifications

  • Bachelor’s degree or Diploma in Business Administration, Logistics, Supply Chain, or a related field, graduated within the last six months.
  • Strong interpersonal and communication skills.
  • Computer literacy and ability to work with ERP systems.
  • High attention to detail and accuracy.
  • Ability to work independently and collaboratively.
  • Proficiency in written and spoken English and Swahili.
  • Commitment to integrity, confidentiality, and accountability.
