Job Description

The Office Administrator II will provide comprehensive administrative and secretarial support to ensure smooth daily operations within the department. As part of the administrative support team, the officer will work closely with senior managers to manage correspondence, coordinate departmental communication, and oversee effective office procedures. This position is crucial for maintaining the integrity of the Authority’s internal communication and record-keeping systems.

Key Responsibilities

  • Taking oral dictation and transcribing correspondence, reports, and confidential documents with accuracy and timeliness.
  • Using e-office systems and digital platforms to research, draft, and process official data and communication.
  • Operating office equipment such as printers, copiers, and scanners to facilitate efficient workflow.
  • Attending to visitors and clients, ensuring excellent customer service and adherence to SHA’s office protocol.
  • Managing telephone calls, emails, and inquiries while maintaining professionalism and confidentiality.
  • Coordinating travel arrangements, accommodation, and logistics for departmental officials.
  • Maintaining security of office records, documents, and classified materials in compliance with data protection policies.
  • Updating and organizing filing systems (both physical and electronic) to ensure quick retrieval of documents.
  • Drafting responses to routine correspondence and preparing memos, minutes, and departmental reports.
  • Supporting the implementation of the department’s charter, business process re-engineering (BPR), and continuity plans.
  • Promoting a corporate culture that aligns with SHA’s values of ethical practices, accountability, and transparency.

Required Qualifications

  • A Bachelor’s degree in Secretarial Studies, Business and Office Management, or an equivalent qualification from a recognized institution; OR
  • A Bachelor’s degree in Social Sciences plus a Diploma in Secretarial Studies from a recognized institution.
  • Proficiency in computer applications, including MS Word, Excel, Outlook, and digital office management systems.
  • Excellent communication, organizational, and interpersonal skills.
  • Strong attention to detail and discretion when handling sensitive information.

Preferred Skills and Attributes

  • Knowledge of modern office management software and government documentation systems.
  • Ability to multitask and work effectively under minimal supervision.
  • Familiarity with records management and document tracking procedures in a public service context.
  • Demonstrated professionalism, integrity, and respect for confidentiality.
