Personal Assistant Job Description

The Personal Assistant will provide efficient, responsive, and high-quality administrative and logistical support to the Departmental Head. This role ensures a smooth operational environment, enabling the department to achieve its objectives.

Key Responsibilities

  • Coordinate daily diary meetings with the Line Manager and schedule meetings with direct reports.
  • Book travel and accommodation for the Line Manager and coordinate team travel logistics.
  • Liaise with internal and external stakeholders to arrange meetings, prepare agendas, and draft minutes.
  • Organize departmental workload and ensure timely submission of reports.
  • Handle incoming calls to the Line Manager efficiently and professionally.
  • Draft emails, letters, and memos for Line Manager review.
  • Maintain comprehensive and confidential filing systems for documents.
  • Manage visitors to the Line Manager’s office and assist as needed.
  • Tabulate and retrieve official expenditures and claims.
  • Prepare PowerPoint presentations and reports as requested by the supervisor.
  • Coordinate with managers, partners, and vendors to ensure timely production of reports.
  • Attend meetings, document key decisions, and analyze basic departmental information.
  • Handle procurement for office supplies, business cards, and other departmental needs.

Required Qualifications

  • Bachelor’s degree in Business Administration or a relevant field.
  • Diploma in Secretarial Studies, Management, Leadership, or Communication is an added advantage.
  • Minimum of 3 years’ experience as an Executive Assistant or Secretary in a senior or executive administrative role.
  • Excellent written and oral communication skills.
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational, multitasking, and problem-solving abilities.

Preferred Qualifications

  • Experience supporting senior management in a banking or financial services environment.
