Job Description

The Procurement Assistant (Reliever) will be responsible for executing daily procurement activities within defined timelines. Reporting directly to the Head of Procurement, the role demands accuracy in managing ERP procurement workflows, maintaining vendor relationships, and ensuring compliance with supply chain processes. Key Responsibilities

Procurement Processing

• Ensure timely and accurate processing of procurement requests.
• Maintain competitive bidding and quality compliance for all sourced items.

ERP System Management

• Enter requisitions, quotations, and purchase orders into the ERP system accurately.
• Convert approved quotations into system-generated Local Purchase Orders (LPOs).

Inventory & Stock Monitoring

• Review inventory levels and initiate restocking using reorder templates.
• Verify delivery compliance against LPOs and supplier agreements.

Supplier Relations

• Negotiate with vendors to ensure the best value for money and favorable contract terms.
• Support supplier development and performance evaluation initiatives.

Compliance & Reporting

• Maintain proper procurement records and ensure full audit readiness.
• Generate procurement reports including Daily Stock Reports, Critical Stock Alerts, and Monthly Plans.

Procurement Innovation

• Participate in sourcing strategy reviews and supplier assessments.
• Identify opportunities for process improvement and cost reduction.

Required Qualifications

• Diploma or Bachelor’s degree in Procurement, Supply Chain Management, or Business Administration.
• Minimum of 2 years’ experience in procurement roles within a manufacturing or FMCG environment.
• Familiarity with ERP systems (e.g., SAP, Microsoft Dynamics, Oracle) in a procurement context.

Preferred Qualifications

• CIPS or KISM certification is an added advantage.
• Strong negotiation, communication, and stakeholder management skills.
• Proficiency in Microsoft Office Suite, especially Excel and Word.
• Knowledge of food manufacturing procurement practices is preferred.
