Job Description
The Supply Chain Coordinator is responsible for overseeing the full spectrum of procurement, logistics, and supply chain operations to ensure timely delivery of goods and services while maintaining strict compliance with World Vision Kenya’s policies and donor regulations. This role requires proactive planning, analytical precision, and strong interpersonal communication to facilitate smooth coordination between internal departments, external suppliers, and partner organizations. The coordinator will play a strategic role in strengthening sourcing processes, risk mitigation, and supplier relationship management to enhance overall efficiency and cost-effectiveness within the SCM function.
Key Responsibilities
1. Planning and Procurement Management
- Advise management and internal teams on all procurement-related matters in accordance with organizational policies.
- Facilitate the resolution of issues impacting procurement timelines or delivery to ensure uninterrupted support to communities.
- Identify and evaluate alternative supply sources for materials and services not under contract.
- Ensure safe delivery, receipt, and proper documentation of ordered goods and services.
- Resolve supplier delivery conflicts promptly to maintain operational flow and stakeholder satisfaction.
2. Strategic Sourcing and Supplier Relationship Management
- Lead market assessments and supplier pre-qualification processes for assigned categories.
- Execute the RFQ/RFP process in compliance with approved procurement frameworks.
- Negotiate supplier agreements to achieve cost efficiency, value for money, and timely delivery.
- Monitor supplier performance and foster strong, ethical, and mutually beneficial relationships.
- Ensure all contracts, renewals, and close-outs are handled efficiently and documented appropriately.
3. Procurement Execution and Quality Assurance
- Receive and review purchase requisitions to ensure accuracy and completeness of specifications.
- Coordinate sourcing, supplier selection, and purchase order approval processes under the applicable threshold.
- Ensure proper documentation for all transactions to facilitate timely supplier payment.
- Support finance teams by providing complete procurement documentation for audits and payments.
4. Data Management and Analysis
- Collect, analyze, and interpret procurement and supply chain data to support informed decision-making.
- Monitor performance metrics and track key performance indicators (KPIs) for continuous improvement.
- Conduct spend analysis to identify savings opportunities and improve sourcing efficiency.
- Prepare procurement committee reports and supplier bid summaries to support transparent decision-making.
5. Compliance, Risk Management, and Continuous Improvement
- Ensure strict adherence to procurement policies, procedures, and compliance standards.
- Participate in developing and implementing risk assessment tools to identify and mitigate supply chain risks.
- Maintain proper filing and record-keeping of procurement activities in alignment with audit requirements.
- Support implementation of audit recommendations and capacity building for partners and sub-grantees.
- Promote a culture of continuous improvement within the SCM department.
6. Training and Capacity Building
- Train and mentor supply chain and program staff on procurement policies, processes, and systems.
- Support partners and sub-grantees in strengthening their SCM capacity through assessments and training sessions.
- Monitor the progress of capacity-building plans and report outcomes to management.
Required Qualifications
- Bachelor’s degree in Business Administration, Procurement, Supply Chain Management, or a related field.
- Postgraduate qualification in Purchasing and Supplies Management (CIPS Level 4 or higher).
- Minimum of 4 years’ experience in procurement or supply chain management, preferably within a large organization.
- Proficiency in MS Office and experience working with Enterprise Resource Planning (ERP) systems.
- Membership with the Kenya Institute of Supplies Management (KISM) and the Chartered Institute of Procurement & Supply (CIPS).
Preferred Qualifications
- Experience working in an International Non-Governmental Organization (INGO) setting.
- Excellent communication, negotiation, and organizational skills.
- Strong ethical standards, integrity, and attention to detail.
- Ability to work under pressure and handle multiple priorities effectively.
