Job Description
The Receptionist serves as the first point of contact for all visitors, parents, and callers to the school. This role requires an individual who can represent the school’s values and ethos with professionalism and courtesy. The position involves handling a range of administrative responsibilities, including managing the school’s communication channels, supporting the admissions and administration teams, and ensuring compliance with safeguarding procedures for all visitors.
The Receptionist will also contribute to the smooth running of daily school operations by maintaining accurate attendance records, coordinating schedules, and providing general support to teaching and administrative staff. This position is essential to ensuring that every visitor, parent, and student experiences the highest level of service and care at Durham International School.
Key Responsibilities
- Serve as the welcoming face of the school, greeting and assisting all visitors in accordance with safeguarding and visitor policies.
- Manage incoming telephone calls, emails, and in-person enquiries efficiently and professionally.
- Oversee visitor registration and ensure that appropriate safety and identification protocols are followed.
- Maintain and update student attendance records using iSAMS and generate daily attendance reports.
- Handle confidential correspondence and maintain accurate records in both digital and physical filing systems.
- Support the administration and admissions teams with daily office operations, including communication, scheduling, and document preparation.
- Coordinate diaries, appointments, and travel arrangements for staff as required.
- Proofread outgoing communication to maintain the school’s professional tone and high-quality standards.
- Assist in organizing and supporting school events such as open days, concerts, sports days, and trips.
- Participate actively in the school’s events, meetings, and community activities to foster a collaborative work environment.
Required Qualifications
- Proven experience in an administrative or customer-facing role, preferably within a school or educational institution.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).
- Excellent literacy and written communication skills.
- Strong organizational and multitasking abilities, with the capacity to prioritize effectively.
- Professional demeanor with excellent interpersonal and communication skills.
- Ability to maintain strict confidentiality and handle sensitive information responsibly.
- Knowledge of data protection and information security best practices.
- High attention to detail and time management skills.
Preferred Qualifications
- Experience using school management systems such as iSAMS.
- Previous experience in an international or multicultural school setting.
- Ability to work collaboratively with diverse teams and departments.
