Job Description
The Office Administrator will oversee a wide range of administrative duties to ensure the efficient operation of the school’s offices and programs. This includes maintaining accurate student records, coordinating co-curricular activities, managing communication with parents and external providers, and supporting both the academic and administrative departments. The ideal candidate will be proactive, well-organized, and committed to upholding the school’s standards of professionalism and care.
This position requires a high level of organizational and interpersonal skills, as the administrator will liaise regularly with staff, parents, and service providers. The Office Administrator will play a vital role in promoting a positive and welcoming school culture while ensuring compliance with safeguarding and operational standards.
Key Responsibilities
- Maintain up-to-date and accurate student records, including emergency contacts and medical information.
- Coordinate the school’s co-curricular activities program, liaising with external providers such as swimming, chess, ballet, and sports instructors.
- Ensure co-curricular providers are informed of term dates, schedule adjustments, and school updates.
- Manage half-term stationery orders and annual international resource procurements.
- Maintain medical supplies and coordinate with the Health Centre to ensure adequate stock levels.
- Assist the Admissions Manager in organizing school tours and visits for prospective parents.
- Support the planning and execution of school events, including Open Days, with attention to correspondence and catering logistics.
- Process parent-related forms for government and institutional requirements, such as pupil passes.
- Liaise with the catering and facilities departments to manage event arrangements and transportation schedules.
- Oversee risk assessments for class trips and extracurricular outings to ensure safety and compliance.
- Promote and uphold the school’s mission, vision, and core values in daily operations.
- Maintain high standards of hygiene, health, and safety throughout the school premises.
- Support and participate in key school activities, such as plays, concerts, sports days, and fundraising initiatives.
Required Qualifications
- Excellent written and verbal communication skills in English.
- Proven experience working in a multicultural, high-performance educational or administrative environment.
- Competence in school management systems such as iSAMS.
- Strong organizational and multitasking abilities with a high level of attention to detail.
- Excellent time management and prioritization skills.
- Proficiency in Microsoft Office Suite and other digital productivity tools.
- Sound understanding of data protection and confidentiality protocols.
- Professional appearance and demeanor with outstanding interpersonal skills.
