Supply Chain Management Assistant I Job Description
The Supply Chain Management Assistant I is responsible for supporting procurement, inventory management, and asset disposal activities. This role reports directly to the Senior Supply Chain Management Officer and ensures timely and accurate supply chain operations.
Candidates will assist in issuing stores, maintaining inventory records, and conducting stocktaking while ensuring compliance with procurement guidelines. This position provides hands-on experience in public sector supply chain management and prepares candidates for higher-level roles in procurement and logistics.
Key Responsibilities
- Issue stores and maintain accurate records of goods and materials.
- Collect and monitor data on outstanding deliveries to ensure timely follow-up.
- Prepare and maintain detailed store records and documentation.
- Carry out regular stocktaking and inventory verification.
- Ensure warehouse safety, security, and cleanliness.
- Prepare periodic inventory and procurement reports for management.
- Identify obsolete or damaged goods for proper disposal.
- Preserve and safeguard store items to prevent losses.
- Assist in opening tenders and quotations for procurement processes.
- Maintain organized and updated store records at all times.
Required Qualifications
- Minimum of six (6) years’ cumulative work experience, including three (3) years at Supply Chain Management Assistant II level or equivalent.
- Diploma in Purchasing and Supplies, or CIPS Final, or equivalent qualification from a recognized institution.
- Proficiency in computer applications relevant to procurement and inventory management.
- Demonstrated merit and ability as reflected in work performance and results.
Key Skills and Competencies
- Strong interpersonal and communication skills for coordination with teams and suppliers.
- Ability to work effectively in a team while meeting tight deadlines.
- Planning, organizing, and record-keeping skills to manage inventory and procurement processes.
