Visa Assistant Job Description
The Visa Assistant supports daily nonimmigrant visa processing activities and helps maintain efficient case management within the Consular Section. This role is central to delivering reliable visa services and requires accuracy discretion and strong administrative discipline. The position involves reviewing documentation entering application data coordinating interview schedules printing visas and assisting applicants with procedural questions. Key Responsibilities
- Manage scheduling interviewing visa printing and delivery workflows for multiple nonimmigrant visa categories
- Review applications verify required documentation conduct data entry and ensure compliance with visa processing regulations
- Download and organize petition information through consular systems and verify records within official visa databases
- Provide accurate visa information to applicants through in-person service email and outreach communication
- Identify potential processing issues trends or documentation gaps and escalate cases when necessary
- Safeguard sensitive applicant data manage visa foils and maintain strict accountability for controlled documents
- Support outreach events assist with public education materials and represent the Consular Section when required

Required Qualifications
- Completion of at least two years of college or university education is required
- Minimum two years professional experience involving regulatory interpretation customer service public interaction or problem solving is required
- Fluent English speaking reading and writing skills are required while Kiswahili proficiency at good working level is expected
- Knowledge of immigration processes government procedures and cultural practices within Kenya is beneficial
