The International Rescue Committee (IRC) is hiring an Administrative Assistant responsible for office administration and supply chain support at their main office in Nairobi, Kenya.
Key Responsibilities:
- – Utilities management and supply chain support
- – Upholding IRC policies, mission, and vision
- – Ensuring reception is manned and office cleanliness/organization
- – Timely payment of utilities (water, electricity, telephones, couriers)
- – Maintaining utilities tracking system
- – Purchasing office drinking water
- – Issuing gate passes for equipment/items leaving office
- – Raising online purchase requisitions for admin department
- – Supporting senior management team requests (travel, dependent school fees)
- – Managing office consumables and stationery supplies with tracking
- – Supporting IHUB office reception, couriers, calls, visitors
- – Supervising and booking boardrooms for meetings, ensuring refreshments
- – Supervising tender bid register
- – Maintaining first aid box per OSHA guidelines
- – Assisting other departments with meeting organization
- – Liaison between suppliers and departments
- – Assisting with onboarding and exit processes
Key Result Areas:
- – Effective administrative and supply chain support
- – Efficient day-to-day office operations
Requirements:
- – Diploma in Business Administration, Management or related field
- – 4+ years administration/management experience, preferably in NGO
- – Customer service skills
- – Excellent computer skills (Word, Excel, Access)
- – Knowledge of administrative rules and regulations

- – Ability to perform complex administrative services

- – Strong problem-solving and analytical skills
- – Able to work with minimal supervision
