Job Description

The Administration Intern will support the Administration Officer in executing day-to-day administrative and operational tasks, ensuring smooth and efficient internal processes. This role is ideal for early-career professionals seeking Administration Intern jobs in Kenya, humanitarian sector internships, or entry-level NGO jobs in Nairobi. The role contributes directly to the effectiveness of internal operations by supporting communication, logistics, documentation, office processes, and inventory management.

This internship provides robust hands-on exposure to administrative functions in a large international NGO. The successful candidate will learn administration standards, operational policies, inventory management procedures, event and travel coordination, and front-office operations. The position also provides learning pathways through job shadowing and cross-functional exposure, helping interns develop essential professional competencies.

Key Responsibilities

  • Handle incoming and outgoing office correspondences and maintain communication logs.
  • Support the issuance of stationery and consumable supplies while ensuring stock levels are monitored.
  • Monitor inventory to ensure alignment between physical stock, bin cards, and digital records.
  • Perform clerical functions such as filing, recording deliveries, and tracking parcels.
  • Assist in maintaining administrative trackers, monthly reports, and Excel databases.
  • Contribute to improving administrative processes and overall operational efficiency.
  • Complete ad-hoc administrative tasks assigned by the Administration Officer.
  • Support preparation of invitation letters and assist with payment processing when required.
  • Participate in job-shadowing tasks, including store management, FIFO implementation, and logistics coordination.
  • Assist in event management, accommodation booking, conference preparation, and catering arrangements from sourcing to payment.
  • Learn to use the Cost Benefit Tracking tool for cost-efficiency analysis.
  • Gain hands-on experience in travel management from TAR receipt to ticketing.
  • Support front-office management and visitor handling.
  • Ensure full compliance with Save the Children’s Child Safeguarding Policy.

Required Qualifications

  • A Bachelor’s degree in Business Administration or any related field.
  • Previous internship or attachment experience is an added advantage.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Strong communication skills—both written and verbal.
  • High levels of organization, attention to detail, and professionalism.
  • Ability to work in a fast-paced, dynamic environment.
  • Dependable, responsible, and eager to learn.
  • Knowledge of Google Docs and Sheets is preferable.
  • Full adherence to Save the Children’s Child Safeguarding and Global Policies.

Preferred Qualifications

  • Experience supporting administrative or operational functions in an NGO or corporate environment.
  • Exposure to logistics, hospitality coordination, or office support roles.
  • Demonstrated ability to work collaboratively with diverse teams.
