Job Description

The Administrative Assistant will provide administrative support to various departments within KPA. Responsibilities include document management, correspondence handling, scheduling, reporting, and coordination with internal and external stakeholders. This role is crucial for maintaining office efficiency and ensuring compliance with KPA policies, procedures, and Chapter Six of the Constitution of Kenya.

Key Responsibilities

  • Manage day-to-day office operations, including filing, record-keeping, and documentation.
  • Draft and prepare correspondence, reports, and official letters as required by management.
  • Schedule meetings, prepare agendas, and coordinate departmental activities.
  • Maintain records of staff compliance with statutory and organizational requirements.
  • Assist with procurement and management of office supplies and resources.
  • Liaise with internal teams and external stakeholders to ensure smooth office operations.
  • Support HR and finance departments in administrative tasks such as payroll documentation, staff records, and verification processes.
  • Ensure compliance with governance, ethics, and integrity standards as required under Chapter Six of the Constitution of Kenya.

Required Qualifications

  • Diploma in Business Administration, Finance, Commerce, ICT, Human Resource Management, or a related field from a recognized institution.
  • Proficiency in Microsoft Office Suite and office management software.
  • Strong organizational, communication, and time-management skills.
  • Ability to work effectively in structured, policy-driven environments.

Compliance Requirements

All candidates must satisfy the requirements of Chapter Six of the Constitution of Kenya (2010), including:

  • Certificate of Good Conduct from the Directorate of Criminal Investigations (DCI).
  • Clearance from the Higher Education Loans Board (HELB).
  • Tax Compliance Certificate from the Kenya Revenue Authority (KRA).
  • Clearance from the Ethics & Anti-Corruption Commission (EACC).
  • Report from an approved Credit Reference Bureau (CRB).

Preferred Qualifications

  • Prior experience in office administration, preferably within a large corporate, logistics, or maritime environment.
  • Knowledge of public sector compliance and record-keeping standards.
  • Additional certifications in office administration, documentation, or records management.
