Job Description

The Office Assistant III role is an entry-level administrative support position responsible for ensuring smooth and efficient day-to-day office operations. The successful candidate will assist with office errands, document management, and general administrative tasks. This role requires a reliable, organized, and proactive individual who can handle basic clerical duties and maintain cleanliness and order within the office environment.

The position reports to a senior administrative officer and provides valuable exposure to public service systems, offering an opportunity to gain practical experience and career development within the Social Health Authority.

Key Responsibilities

  • Collecting, dispatching, and delivering mail, parcels, and official documents both within and outside the Authority.
  • Distributing correspondences and internal communications across departments promptly.
  • Opening and closing the office and ensuring general cleanliness and orderliness of work areas.
  • Operating office equipment such as photocopiers, scanners, and binding machines.
  • Assisting in document retrieval, filing, and record management as instructed by supervisors.
  • Preparing and serving tea and refreshments to staff and visitors as required.
  • Ensuring drinking water availability in meeting rooms and common office spaces.
  • Arranging meeting venues, boardrooms, and conference setups.
  • Performing other administrative or support duties as assigned by supervisors.

Required Qualifications

  • Kenya Certificate of Secondary Education (KCSE) mean grade D plain or its equivalent qualification recognized in Kenya.
  • Proficiency in basic computer applications.
  • Good communication and interpersonal skills.
  • High sense of responsibility, integrity, and ability to maintain confidentiality.

Preferred Qualifications

  • Basic knowledge of office administration and filing systems.
  • Previous experience in an office support role within a public or private organization.
  • Strong organizational and multitasking abilities.
