Job Description

The Personal Assistant to the Chief Operations Officer will provide high-level administrative and operational support to ensure the smooth and efficient functioning of the COO’s office. The role requires exceptional organizational ability, attention to detail, and the capacity to manage sensitive and high-pressure environments. This is a pivotal position for candidates seeking executive support careers in Nairobi’s dynamic media sector.

Key Responsibilities

  • Prepare and draft official documents including letters, reports, and presentations.
  • Write and format proposals for internal and external review and approval.
  • Screen and manage incoming calls, messages, and inquiries, ensuring professional handling.
  • Monitor and prioritize the COO’s email, providing timely responses or delegating as necessary.
  • Manage and coordinate the COO’s schedule, including diary management, meeting planning, and appointment setting.
  • Ensure thorough preparation for meetings by compiling agendas, documents, and background materials.
  • Serve as a communication link between the COO and other stakeholders—both internal and external.
  • Plan and oversee logistics for corporate events, engagements, and external functions.
  • Take detailed notes during meetings and produce accurate, well-structured minutes in a timely manner.
  • Handle ad hoc assignments and special projects as delegated by the COO.

Required Qualifications

  • Bachelor’s degree in Business Administration, Office Management, Public Relations, International Relations, or any related field from a recognized institution.
  • Minimum of five (5) years continuous experience in a similar role, preferably supporting C-suite executives.
  • Proficiency in Microsoft Office 365 and familiarity with project management software.
  • Excellent organizational and time management skills with proven ability to multitask.
  • Strong verbal and written communication skills with a keen attention to detail.
  • Demonstrated discretion, integrity, and professionalism when handling confidential information.
  • Ability to thrive in fast-paced, high-stakes environments with composure and resilience.
  • Strong interpersonal skills and a collaborative mindset.

Preferred Qualifications

  • Experience in the media, non-profit, or corporate sectors supporting executive-level personnel.
  • Formal training in executive support, administration, or project coordination.
  • Event planning and stakeholder engagement experience.
  • Advanced skills in document presentation, layout design, and professional formatting.
  • Demonstrated experience working with diverse teams or across departments.
