Job Description
Two Rivers Lifestyle Centre Limited is currently offering exciting job opportunities in Nairobi for an enthusiastic Records Management Intern. The selected candidate will play a pivotal role in supporting the company’s Records Management team by ensuring all records are maintained, organized, and safeguarded according to legal requirements, internal policies, and recognized industry best practices.
Working closely with various departments, the Records Management Intern will assist in digitizing records, securing sensitive information, and contributing to the ongoing improvement of the Centre’s records management processes. This role is perfect for candidates who are passionate about information management, enjoy working with structured data, and aspire to contribute to the operational efficiency of a leading retail and entertainment institution.
Key Responsibilities
- Digitize physical records by efficiently scanning and uploading files to create organized digital copies.
- Assist in the maintenance, security, and long-term preservation of records in line with the best industry standards and organizational policies.
- Support the ongoing maintenance of the records registry and archives, ensuring the security and integrity of all stored information.
- Maintain accurate and up-to-date file movement records to support effective records control and tracking.
- Safeguard the confidentiality and security of sensitive records by applying appropriate data privacy practices and technical safeguards.
- Conduct thorough risk analysis and provide actionable recommendations for addressing key risk elements within the records management framework.
- Participate in organization-wide records management-related projects and contribute to project success through active collaboration and knowledge sharing.
- Assist with the development, review, and implementation of records management policies, standards, and guidelines.
- Monitor and enforce records retention schedules to ensure alignment with legal and operational requirements.
- Develop and implement disaster recovery and business continuity procedures to protect critical records in case of unforeseen emergencies.
Required Qualifications
- Diploma in Records Management, Information Management, Information Science, Library Science, or a closely related field from a recognized academic institution.
- Strong ICT skills with demonstrated proficiency in using technology to support automation and collaborative information management.
- Solid understanding of the records lifecycle, encompassing classification, indexing, cataloging, and retention practices.
- Proven knowledge of various records categories and the key processes involved at every stage of the records lifecycle.
Preferred Qualifications
- Hands-on experience in using electronic records management systems (ERMS) and document management tools.
- Familiarity with data privacy laws and regulations, particularly those applicable within Kenya and East Africa.
- Strong analytical and problem-solving skills, with an ability to assess risks and recommend practical solutions.
- Excellent organizational skills with strong attention to detail and accuracy.
- Good communication and interpersonal skills to collaborate effectively across departments.
