Transport & Customs Intern Job Description
The Transport & Customs Intern will learn and support the daily operations of the Transport Department under the supervision of the Transport and Customs Manager (TCM). This position vacancy in Nairobi is designed for graduates seeking practical experience in coordinating clearing agents, managing freight documentation, and ensuring compliance with MSF standards.
This week, MSF is promoting internship job opportunities that provide hands-on exposure to customs procedures, Export Processing Zone (EPZ) regulations, and transport invoice validation. The intern will collaborate with Procurement, Warehouse, Supply Operations, Finance, and mission-level transport managers to ensure smooth movement of goods.
Key Responsibilities
- Understand and coordinate clearing agents’ tasks to ensure freight clearance on time and at minimal cost.
- Learn to coordinate and monitor transportation of goods in and out of MSF Supply Kenya until delivery to missions.
- Monitor compliance with Transport and Customs procedures, standards, and protocols.
- Support consolidation of packing lists and creation of freight documents in Nodhos for mission pre-clearance.
- Follow up on tax exemption files with missions and the Intersectional Customs Manager (MICO) to ensure timely receipt of Tax Exemption documents.
- Understand EPZ warehouse operations, manage Transit Go-Down (TGD) records, and file monthly and quarterly returns with relevant authorities.
- Follow up with clearing agents and transporters to obtain Certificates of Exports (COE).
- Maintain records of goods in TGD and ensure timely transit extensions.
- Learn how to monitor EPZ and TGD warehouse license renewals to avoid penalties.
- Screen and forward transport invoices for validation and timely payment processing.
- Consolidate transporter and clearing agent invoices to ensure compliance with agreed tariffs.
- Ensure proper archiving of freight and customs documentation.
- Participate in preparation of monthly reports and KPIs with TCM guidance.
- Develop a video explaining tools and ordering processes for international orders routed to MSF Supply Kenya.
- Prepare and submit a discovery report at the end of the internship period.
Required Qualifications
- Bachelor’s degree in Logistics, Supply Chain Management, or related field, graduated within the last six months.
- Strong interpersonal and communication skills.
- Computer literacy and ability to work with freight documentation systems.
- High attention to detail and accuracy in record-keeping.
- Ability to work independently and collaboratively within teams.
- Proficiency in written and spoken English and Swahili.
- Commitment to integrity, confidentiality, and procedural compliance.
Preferred Qualifications
- Interest in customs compliance, freight forwarding, and EPZ operations.
- Understanding of Kenya Revenue Authority (KRA) procedures.
