Customer Care Assistant Job Summary
The Customer Care Assistant will provide front office and customer support services by receiving visitors, responding to inquiries, managing customer records, handling correspondence, and supporting the implementation of customer service standards. The role requires excellent communication skills, professionalism, and a strong commitment to delivering exceptional customer experiences.
The successful candidate will work closely with various departments to ensure customer concerns are addressed promptly while maintaining high standards of confidentiality, service quality, and stakeholder satisfaction.
Key Responsibilities
- Receive and attend to visitors, clients, and stakeholders professionally.
- Respond to customer inquiries through telephone, email, and other communication channels.
- Provide accurate information regarding the Council’s services, procedures, and requirements.
- Record, track, and follow up on customer inquiries, complaints, and feedback.
- Escalate complex customer issues to the appropriate departments for timely resolution.
- Support implementation of customer service policies, standards, and procedures.
- Maintain customer service records, correspondence, and databases.
- Monitor customer satisfaction and contribute to service delivery improvements.
- Support customer engagement forums and public awareness activities.
- Prepare periodic customer service reports, statistics, and performance updates.
- Participate in quality management initiatives and continuous improvement programs.
- Ensure confidentiality and proper handling of customer information.
- Perform any other duties assigned by the supervisor.
Minimum Requirements
- Diploma in Customer Service Management, Public Relations, Communications, Business Administration, Marketing, Public Administration, Social Sciences, or a related field from a recognized institution.
- Proficiency in computer applications.
- Certification in Customer Service Management, Customer Experience Management, Public Relations, or Customer Relationship Management (CRM) will be an added advantage.
- Relevant experience in customer service, front office operations, public relations, or a related field will be an added advantage.
