The Nursing Council of Kenya (NCK) is the statutory regulatory body established under the Nurses Act (Cap. 257) of the Laws of Kenya. The Council is mandated to regulate nursing education and professional practice while promoting high standards of healthcare service delivery across the country.

As part of its commitment to operational excellence, the Council is seeking a highly organized and results-oriented Office Administrator to strengthen administrative operations, improve executive support services, and enhance stakeholder engagement.

Office Administrator Job Summary

The Office Administrator will coordinate office administration activities, provide executive support, manage correspondence, oversee records management, coordinate meetings and events, and facilitate smooth office operations. The position requires a highly organized professional capable of managing multiple administrative functions while maintaining confidentiality and professionalism.

The successful candidate will work closely with Management to ensure effective scheduling, document management, stakeholder communication, customer service, and compliance with organizational policies and administrative procedures.

Key Responsibilities

  • Provide executive and administrative support to Management.
  • Coordinate meetings, workshops, conferences, and official events.
  • Manage executive calendars, appointments, travel arrangements, and meeting schedules.
  • Prepare meeting agendas, reports, minutes, and supporting documentation.
  • Follow up on implementation of meeting resolutions and action points.
  • Manage incoming and outgoing correspondence efficiently.
  • Maintain organized filing systems and electronic document management records.
  • Ensure secure custody of confidential organizational documents and records.
  • Maintain document tracking, retrieval, and archiving systems.
  • Receive visitors and respond professionally to stakeholder inquiries.
  • Coordinate stakeholder appointments and communication.
  • Maintain positive relationships with clients, suppliers, partners, and other stakeholders.
  • Coordinate office supplies, inventory, and equipment maintenance.
  • Support procurement, logistics, and administrative operations.
  • Manage petty cash records and administrative expenditure where applicable.
  • Prepare administrative reports and operational records.
  • Support implementation of quality management systems and audit recommendations.
  • Ensure compliance with administrative procedures, policies, and organizational standards.
  • Perform any other duties assigned by the supervisor.

Minimum Requirements

  • Bachelor’s Degree in Business Administration, Public Administration, Management, Social Sciences, or a related field from a recognized institution.
  • Diploma in Secretarial Studies.
  • Minimum of four (4) years relevant experience in office administration, executive support, records management, or administrative services.
