Assistant Registrar (Admission & Records) Job Description
The Assistant Registrar will provide leadership in admissions, registration, graduation, records management, examinations coordination, and internal quality assurance implementation. This position supports employment opportunities at St. Paul’s University by ensuring accurate student data governance and compliance with regulatory frameworks.
The role oversees student admissions processes, academic records management, graduation verification, and policy implementation. Key Responsibilities
Admissions and Registration
- Coordinate student admissions processes and verify eligibility.

- Maintain accurate, secure academic records.
- Ensure compliance with data protection regulations.

- Coordinate programme accreditation and academic audits.

- Coordinate academic calendars and unit allocations.
- Verify graduation eligibility and degree audits.
- Oversee transcript and certificate issuance.
- Support planning and execution of graduation ceremonies.
Supervision and Liaison
- Assign and monitor departmental responsibilities.
- Supervise and mentor registry staff.
- Serve as liaison between Registrar’s office, faculties, students, and regulatory bodies.
- Represent the office in delegated committees and meetings.
Required Qualifications
- Master’s degree in Education, Administration, Management, or related field.
- Minimum seven (7) years’ experience in an Academic Registry, including three (3) years in a supervisory role.
- In-depth knowledge of academic policies and procedures.
- Proficiency in academic ERP systems and Microsoft Office Suite.
- Demonstrated digital competence in admissions platforms, electronic records management, and data reporting tools.
- Committed Christian aligned with the University’s values.
Preferred Qualifications
- Knowledge of Strategic Plan 2025–2030 implementation.
- Strong leadership, problem-solving, and collaboration skills.
- Experience supporting institutional accreditation processes.
