Personal Assistant Job Description

The Personal Assistant will provide comprehensive administrative and clerical support to the DVC-AA. This includes preparing correspondence, handling information requests, scheduling meetings, organizing travel, taking minutes, and maintaining both electronic and hard-copy filing systems. Key Responsibilities

  • Handle clerical duties including typing, photocopying, printing, mailing, and filing.
  • Prepare, transcribe, and distribute meeting agendas and minutes, organizing venues and meals as required.
  • Make local and international travel arrangements, including itineraries, visas, accommodation, and airport transfers.
  • Receive and assist visitors, including graduation guests and short-term visitors to the office.
  • Serve as the first point of contact for telephone inquiries, emails, and in-person communication.
  • Maintain a structured electronic and hard-copy filing system to ensure record accuracy and confidentiality.
  • Support implementation of office processes in alignment with institutional policies and Strategic Plan 2025–2030.
  • Perform any additional duties as assigned by the DVC-AA.

Required Qualifications

  • Bachelor’s degree in Business Administration or a related business field.
  • 3–5 years of experience in an administrative, secretarial, or personal assistant role, preferably in a university or learning institution.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated digital competence for responsible use of office technologies and communication tools.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks efficiently.
  • Committed Christian with high moral and ethical standards aligned to the University’s values.

Preferred Qualifications

  • Experience supporting executive management in higher education institutions.
