Data Protection and Quality Assurance Officer – Role Overview

The Data Protection and Quality Assurance Officer role at KeNIC is responsible for maintaining and strengthening the organization’s data governance framework. The position ensures that all personal data is processed lawfully, securely, and transparently in line with the Kenya Data Protection Act and other applicable regulations.

This role combines data protection compliance, privacy risk management, quality assurance, and cybersecurity alignment. The successful candidate will implement KeNIC’s data protection strategy, oversee compliance monitoring, conduct Data Protection Impact Assessments (DPIAs), and embed a culture of privacy and accountability across the organization and its stakeholders.

Main Duties and Key Accountabilities

  • Provide expert guidance and support on data protection and privacy matters to internal and external stakeholders.
  • Coordinate the implementation of KeNIC’s data protection strategy, frameworks, and policies.
  • Monitor compliance with industry standards, regulatory requirements, and directives from relevant authorities.
  • Conduct and document Data Protection Impact Assessments (DPIAs).
  • Promote a culture of data protection, privacy, and compliance across the organization.
  • Advise on incident response, data breaches, and breach notification processes as required by law.
  • Provide support on registrar and registrant data protection issues, including dispute resolution.
  • Implement quality assurance frameworks to enhance operational efficiency and service excellence.

Responsibilities

  • Develop, review, and update data protection and privacy policies, ensuring alignment with QA and cybersecurity practices.
  • Advise KeNIC on data protection compliance requirements and emerging regulatory obligations.
  • Act as the primary point of contact for data protection matters with regulators, staff, and relevant bodies.
  • Conduct regular data protection audits, privacy assessments, and compliance reviews.
  • Drive implementation of key processes aligned with data protection principles and address identified gaps.
  • Prepare and submit periodic data protection and compliance reports to stakeholders.
  • Review and monitor vendor and third-party contracts to ensure compliance with data protection requirements.
  • Design and deliver training and awareness programs on data protection, privacy, and cybersecurity.
  • Execute KeNIC’s Alternative Dispute Resolution Process (ADRP) where applicable.
  • Perform any other related duties as assigned by the supervisor.

Education and Experience Requirements

  • Bachelor’s degree in Information Technology, Computer Science, Law, Data Protection, or a related field.
  • At least 1 year of experience in data protection, privacy, compliance, ICT, legal, or related fields.
  • Strong working knowledge of the Kenya Data Protection Act and other relevant regulations.
  • Experience in policy development, compliance programs, and staff training.
  • Experience working within the ICT industry or technology-driven environments.
  • Demonstrated experience managing data incidents and breach response.
  • Solid understanding of data processing operations, information systems, and data security controls.
  • Additional IT or data protection certifications are an added advantage.
