Competitive Remuneration Package

  • Basic Salary: KShs.45,095 x 2,605 – 47,700 x 2,600 – 50,300 x 2,890 – 53,190 x 2,890 – 56,080 x 2,880 – 58,960 x 2,890 – 61,850 x 3,760 – 65,610 x 3,750 – 69,360 x 3,755 – 73,115 per annum
  • House Allowance: Kes 19,000 monthly
  • Commuter Allowance: Kes 8,000 monthly

Minimum Qualifications

Candidates must meet the following requirements:

  • – Three (3) years’ cumulative work experience at the grade of Office Assistant III or a comparable position in the public or private sector
  • – KCSE mean grade D (plain) or its equivalent from a recognized institution
  • – Proficiency in computer applications
  • – Demonstrated merit and ability as reflected in work performance and results
  • – Meet the provisions of Chapter Six of Constitution

Core Responsibilities

The Office Assistant II will be responsible for:

Hospitality Management

  • – Facilitating hospitality for members of staff, staff meetings and high-level stakeholders’ meetings
  • – Preparing meeting venues professionally and in a timely manner
  • – Keeping detailed inventory of kitchen equipment

Office Administration

  • – Ensuring orderly arrangement of office equipment and furniture
  • – Dispatching letters and documents efficiently
  • – Performing various office duties as assigned
  • – Carrying out messengerial duties as required

Job Description

The Office Assistant II will provide essential general office and logistical support within the Authority. The position is vital in maintaining cleanliness, efficiency, and orderliness across offices and workspaces. The role encompasses messenger duties, mail dispatch, document handling, and basic clerical responsibilities to ensure smooth day-to-day operations.

This is a promotional grade for Office Assistants and forms a common establishment with the Office Assistant III (SHA Grade 12), providing a clear career progression pathway within the organization.

Key Responsibilities

  • Collecting and dispatching mail, packages, and running official errands efficiently.
  • Distributing correspondences, memos, and documents across departments within the Authority.
  • Retrieving, organizing, and filing office documents as required and guided by supervisors.
  • Scanning, photocopying, and binding office documents to ensure proper documentation and record-keeping.
  • Opening and closing offices daily and ensuring a clean, safe, and organized workspace.
  • Maintaining general cleanliness across office areas, meeting rooms, and common spaces.
  • Preparing and serving tea, refreshments, and ensuring availability of drinking water in meetings and common areas.
  • Arranging meeting venues, boardrooms, and ensuring that they are ready for official functions.
  • Monitoring, managing, and replenishing office supplies such as stationery, printing paper, and cleaning materials.
  • Supporting administrative staff with other general office tasks as assigned.

Required Qualifications

  • At least three (3) years of relevant experience at the level of Office Assistant III or a comparable position.
  • Minimum education of Kenya Certificate of Secondary Education (KCSE) mean Grade D (Plain) or equivalent qualification.
  • Proficiency in computer applications including document management and office productivity tools.
  • Demonstrated merit, reliability, and ability in previous roles through verifiable performance results.

Preferred Qualifications

  • Training in basic records management or office administration.
  • Excellent interpersonal and communication skills with a positive attitude.
  • Ability to multitask, work under minimal supervision, and maintain confidentiality.
  • Strong organizational and time management skills.
