Warehouse Referent Job Description
The Warehouse Referent will design, coordinate, and guarantee the implementation of a responsive, agile, and efficient warehousing strategy capable of meeting evolving operational needs. This position vacancy in Nairobi oversees approximately 2,800 m² across three warehouses and ensures optimal organization, safety, compliance, and performance.
This role integrates structural storage strategy, resource planning, process optimization, and leadership responsibilities. Key Responsibilities
- Guarantee optimal flow and organization across three warehouses, including designing or redesigning racking layouts based on operational requirements.
- Define required storage volumes and provide analysis to justify investments such as new facilities, layouts, or machinery.
- Ensure Occupational Safety and Health and Goods Storage & Distribution Practices compliance under pharmacist guidance.
- Collaborate with the Base Logistician to maintain and update warehouse facility maintenance plans.
- Define and implement warehouse safety and security measures with senior leadership support.
- Propose and manage warehousing budgets, including investments, maintenance, consumables, and HR costs.
- Supervise five warehouse team members, assess needs for casual workers, and optimize team structure.
- Provide technical support, coaching, and capacity building to warehouse staff.
- Define appropriate machinery usage, including forklifts and reach trucks.
- Lead organizational change initiatives related to digitalization and continuous improvement.
- Oversee physical and administrative product management in line with SOPs and quality standards.
- Ensure timely use of quality tools such as Deviations, CAPA, and change control processes.
- Contribute to defining and optimizing the Warehouse Management System (WMS) in collaboration with MSF Supply and Brussels teams.
- Analyse monthly and quarterly warehouse data to anticipate issues and propose solutions.
- Align warehouse strategies with other departments to guarantee operational efficiency.
- Allocate resources across multiple sites and support daily planning of picking, loading, and offloading activities.
- Monitor medical and logistics stock management, ensuring compliance and reporting deviations promptly.
Required Qualifications
- Diploma in Supply Chain Management or related field with 10 years’ experience in warehouse management; or Degree/Master’s in Supply Chain Management or related field with 5 years’ experience.
- Minimum 3 years’ experience in team management.
- Strong knowledge of warehouse layout design and operational optimization.
- Excellent communication, reporting, and organizational skills.
- Computer literacy and familiarity with warehouse systems.
- Proficiency in written and oral English and Swahili.
Preferred Qualifications
- Extensive warehouse management experience (10 years desirable).
- Pharmaceutical product management experience.
- Experience contributing to WMS configuration and optimization.
- Diplomatic, culturally sensitive, proactive, flexible, and detail-oriented mindset.
